IOI Mesra App
IOI Mesra App is a mobile application provided by IOI Corporation Berhad (Company Registration No. 196901000607 (9027-W)), a Malaysian public listed company, (“IOI”, and together with its group of companies “IOI Group”, “we”, “our” or “us”) as another source of grievance channel for our plantation workers (each “you” or “your”).
IOI Mesra App will allow you to have access to an online grievance channel and voice your grievances discreetly. It is available in the following languages: Bahasa Malaysia, English, Bahasa Indonesia, Bengali, Hindi, Nepali, Myanmar, and Tagalog. You can submit your reports at any time because the IOI Mesra App system is available 24 hours a day, 7 days a week. You can also choose either to report as anonymous or vice versa. IOI Mesra App facilitates communications between you with the management from headquarter of IOI Group about concerns that arise and further allows you to complain in a private, careful and prudent manner.
IOI Mesra App offers the following features:
Allows users to report in various formats, including image/photo upload, video upload, voice recording, PDF document upload, GPS location, and textual description;
Supports both registered accounts and anonymous mode for report creation;
Requires username, email, full name, and password for account registration; and
Provides an offline mode for reporting.
General
We respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, process, disclose and store your personal data (which would include information that relates directly or indirectly to you and identifies you as an individual) (“Personal Data”) in instances when your Personal Data may be collected during the course of your registration of account as user of IOI Mesra App, in accordance with the Malaysian Personal Data Protection Act 2010 (“PDPA 2010”) and any statutory amendments or re-enactments made thereof from time to time and any applicable regulations, guidelines and orders made thereunder (collectively referred to as “PDPA”) and under this Privacy Policy.
Please read this Privacy Policy carefully before using IOI Mesra App or submitting Personal Data to us through our IOI Mesra App.
Your Personal Data which we may collect includes but not limited to the following:
information from any messages, comments or queries you submit to us in whatsoever manner;
information submitted or made available by you, including any form of writings, printings, images, photography, audios, animations, videos or any other method of recording information that is capable of being preserved;
information collected during registration or signing up of user account at our IOI Mesra App including log-in name and password; and/or
any other information submitted or made available by you which is deemed necessary for the purposes stipulated below.
The Personal Data processed may include but not limited to Personal Data relating to:
your identity (including but not limited to your name and passport number); and
your contact details (including but not limited to your phone numbers and address).
The list of Personal Data stated above is not exhaustive and may include other personal data depending on the nature of communication between you and IOI Group.
As a user of IOI Mesra App, you hereby agree for any Personal Data stated above to be stored in our computer databases and servers located within and outside Malaysia.
We may collect and process your Personal Data for the purposes of IOI Mesra and for IOI Group’s activities, including but not limited to the following purposes (collectively, “Purposes”):
to communicate with you eg. to send important notices, changes to IOI’s policies and notices and other like communications;
to communicate with you including to respond to any of your queries and/or requests;
for internal purposes such as auditing;
for internal record keeping
where in IOI Group’s opinion such use or disclosure of Personal Data is necessary to protect its interests and to respond to any claims or legal processes;
for the protection and prevention against and detection of actual or potential crimes including fraud or unauthorised transactions or unlawful activities;
for the investigation of complaints, misconduct and suspected suspicious transactions (including but not limited to carrying out due diligence and/or other screening activities);
to comply with legislative, statutory, regulatory and sustainability requirements;
for corporate governance purposes, including auditing, internal investigations, compliance, risk management, conflict of interest reporting and security processes;
to transfer Personal Data to any parties located in other jurisdictions outside Malaysia, where necessary;
for general administrative and management purposes; and/or
for all other purposes in relation or incidental to the above.
By providing your Personal Data to IOI Group, you consent to the use of Personal Data collected by us or our authorised third party in the manner set out in this Privacy Policy for the Purposes stated above.
We will not sell, distribute or lease your Personal Data to third parties unless we have your permission or are required by law.
Where necessary in performing the Purposes, IOI may disclose your Personal Data to the following parties (including those within and outside Malaysia):
any entities within IOI Group including IOI Group’s holding company, subsidiaries, related and associate companies and affiliates and representative offices and joint-venture partners, which may be located in Malaysia or overseas;
any authorised agents and service providers of IOI Group and those who collaborate or provide services relating to the purposes for which the Personal Data is collected or for activities related to IOI Mesra App, including but not limited to consultants, data processing services and third party vendors, agents, suppliers or contractors and/or advisors who provide operating and administrative system, computer and information technology system, human resources and payroll system and/or other services to any company within IOI Group in connection with the operations of their businesses, with whom Personal Data may be shared for the limited purpose of enabling the authorised third party to perform the particular services on behalf of any company within IOI Group;
other relevant parties such as lawyers, legal advisors and auditors;
any person, who is under a duty of confidentiality who has undertaken the responsibility to keep such data private and confidential; and
other parties, in respect of whom you have consented to the disclosure of your Personal Data.
In addition, we may also disclose your Personal Data (within and outside Malaysia) in good faith:
to comply with the requirements of the government or local authorities, law enforcement agencies or any other authorities including regulatory and securities authorities to whom IOI Group is subject to or have reporting obligations or to whom we are required to provide your Personal Data;
to comply with any orders of any court of competent jurisdiction;
as is necessary or relevant in relation to any legal process or proceedings;
if required or authorised by law or where such disclosure is necessary to comply with applicable laws, regulations, legal processes or queries from relevant authorities; and
as is necessary for purpose of preventing or detecting or investigating an actual or potential crime or suspicious transaction or breach of securities.
Retention Period
Any Personal Data we collect will be retained by IOI Group and/or any of the parties to whom any Personal Data has been disclosed to, for as long as necessary to fulfil the many different Purposes outlined in this Notice in line with our internal retention policies or as required to satisfy legal and/or regulatory requirements or to protect IOI Group’s interests.
We are committed to ensuring that your Personal Data is secure. We will protect your Personal Data in accordance with any applicable Malaysian laws including PDPA. In order to prevent loss, theft, misuse, modification or unauthorised or accidental access, alteration, disclosure or destruction, we have put in place appropriate physical, electronic, technical and administrative procedures and technological and organisational security measures to safeguard and secure the Personal Data that we collect via IOI Mesra.
When you provide your Personal Data to IOI Group, you undertake that all such information provided is accurate, complete and up-to-date. If there are any changes to your Personal Data or if you believe that the Personal Data we have about you is inaccurate, incomplete, misleading or not up-to-date, please contact us, the details as stated below, so that we may take steps to update your Personal Data.
We may decline to process requests that are unreasonably repetitive, require disproportionate technical effort, jeopardize the privacy of others, are extremely impractical, or for which access to correct the Personal Data is not otherwise required by local law.
If you do not agree with any of the contents of this Privacy Policy, please provide us with reasonable notice. Otherwise, we shall deem that you consent to the collecting, recording, processing, holding, storing, usage and disclosure of your Personal Data.

IOI reserves the right to update, revise, amend and/or modify this Privacy Policy from time to time and in any manner at its absolute discretion but in accordance with any applicable law. Any material changes will be posted in IOI Mesra Privacy with the updated Privacy Policy.
In the event of any inconsistencies between the English version and the Bahasa Malaysia version of this Privacy Policy, the English version shall prevail.
